South Hanwell Baptist Church (SHBC/we) is committed to protecting and respecting your privacy.  This notice outlines how we collect, make use of, communicate, and disclose your personal information.  This notice outlines the ways in which we seek to be compliant with current data protection legislation (2018 UK Data Protection Act) and the rights each person has regarding the handling of their personal information.
Who we are
South Hanwell Baptist Church (SHBC) is the data controller where we determine the purposes and the means for processing your personal data. We may use trusted partners as data processors to deliver services to you on our behalf.
how do we use your personal data?
  • to provide you with news and information relating to events, activities, and services running at SHBC;
  • to deliver our church ministries, activities, including: Sunday services and midweek events, children’s work, youth work, small group activities,  and other ad-hoc services and ministries;
  • ​to promote and make available our services and selected events through photographs, sound recording, video recording, and live web-streaming;
  • to provide pastoral care, support, and teaching;
  • to maintain our church list of members, friends, and regular attendees;
  • in the hiring of church premises;
  • to recruit, support, and manage our church staff, employees, and volunteers;
  • to collect your involvement in the church related to rotas and sign-up sheets;
  • to safeguard children, young people and adults at risk;
  • to maintain our own financial accounts and records, including the processing of gift aid applications;
  • to respond effectively to enquirers and handle any complaints;
  • to enable us to adhere to applicable legal and statutory requirements.
What personal data do we collect and process?
  • Your contact details;
  • Your religious affiliation - by membership or otherwise stated;
  • Your attendance at events and meetings hosted by us;
  • Your participation in rotas for service in the church;
  • Information related to the dietary needs you may have related to the provision of food and catering by the church;
  • Information contained in emails, messaging groups, or other correspondence from you and records of telephone calls or meetings with you;
  • Your marital status, age, gender, and information about your immediate family and/or dependents;
  • Details of giving history and gift aid that you give to the church;
  • Information contained in checks provided by the Disclosure & Barring Service;
  • Information that you share with us for the purposes of pastoral care, encouragement, training, and prayer;
  • Information relevant for membership of and service in the church, employment by the church, or service with other Christian organisations;
  • Medical information where necessary to ensure that the care and hospitality that we provide for you is appropriate to your needs;
  • Details of your visits to our website, including web traffic data and cookie identifiers.
What legal bases for processing do we rely on?
  • consent of the data subject so that we can provide information about news, events, activities, and services; so that we can process images, videos, and recordings; to process gift aid donations; to provide you with marketing and giving/fundraising information;
  • where processing is necessary in order to fulfil a contract such as where we act as an employer;
  • the processing of religious affiliation is carried out under Article 9 of the 2018 UK Data Protection Act, specifically as a not-for-profit body with a political, philosophical, religious or trade union aim provided that the processing relates only to members or former members (or those who have regular contact with SHBC in connection with those purposes);
  • where processing is necessary for carrying out obligations under employment, social security or social protection law, or a collective agreement as provided in Schedule 1 of the 2018 UK Data Protection Act.
Sharing your personal data
Your personal data will be treated as strictly confidential and will only be shared with other members of the church for purposes connected with membership updates, praying for you, providing pastoral care by authorised individuals, and to allow the church to contact you related to rotas and sign-up sheets.

We will only share your data with trusted third parties outside of the church if we have first obtained your consent.
How long do we keep your personal data?
We will store your information for no longer than reasonably necessary, such as the time that you are attending the church or are a member of the church. Where appropriate, such as for financial data, your data is retained in compliance with legally-defined minimum retention periods. 

If you leave membership, we will remove your data unless you instruct us otherwise, such as to keep you informed about the ministry and life of the church.

Data processed for the purposes of safeguarding related to events, consent forms, and health and safety will be retained for 3 years after the form is filled out.
Your rights
  • the right to request a copy of the personal data which we hold about you;
  • the right to request that we correct any personal data if it is found to be inaccurate or out-of-date;
  • the right to request your personal data is erased where it is no longer necessary for us to retain such data;
  • the right to withdraw consent to processing at any time;
  • the right to request that we provide you with your personal data and where possible to transmit that data directly to another organisation (the right to data portability) where applicable;
  • the right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing;
  • the right to object to the processing of personal data – only applies where processing is based on legitimate interests, for the performance of a task in the public interest/exercise of official authority, direct marketing & for the purposes of scientific/historical research & statistics;
  • the right to lodge a complaint with the Information Commissioners Office (ICO).
